Create and manage any number of fees

Aryeo allows you to create and manage any number of fees. These fees can be percentage-based, flat rates, or distance/time-based, and they are assigned to one or more users in your group.

Once created, this fee will be applied to future orders for each team member servicing each appointment. For example, if an order has one appointment with two team members servicing it, fees for both team members will be applied.

Types of Fees

There are 5 types of fees that can be created and assigned to users on your team. Let's walk through each Fee Type below in more detail.

Flat Fee


The Flat Fee will apply a flat dollar amount to any future orders for each team member assigned to this fee.

  • Example: Flat Fee Travel Rate = $25 for every user

Percentage Based Fee


The Percentage Based Fee will applied as a % of an order's total.

  • Example: Next Day Delivery Service = 2% Fee

Basic Metered Fee


This is based on travel distance or time for each user servicing each appointment. Apply an amount per mile or kilometer traveled.

  • Fee Name

  • Fee Description (optional)

  • Metered by: Miles of travel to an appointment

  • Amount: $0.50 per mile

  • Pricing Preview: If a user had to travel 25 miles to an appointment, a fee of $12.50 would be applied to the order total.

Graduated Metered Fee


This Fee option will allow you to create tiers for miles or kilometers minutes traveled, and sum all tiers that make up the distance. Each tier will be summed for the final travel fee total. To get started, select the following inputs from the available options.

  • Metered by: Miles of travel or kilometers of travel to an appointment

  • Fee Structure: Per unit or Flat Fee

  • Next: Build Tiered Pricing Structure

Example: For the first 15 Miles, charge 0. For the next 16 - 26 miles, charge $1/mile. For the next 27+ miles, charge $3/mile until the final destination is reached.

  • For the First 0 - 15 Miles = $0 per mile

  • For the Next 16 - 26 Miles = $1 per mile

  • For the Next 27+ Miles = $3 per mile

Scenario: If a user had to travel 37 miles for an appointment a fee of $0 for the first 15 miles, $11 for the next 11 miles, $33 for the last 11 miles. The total fee ends up coming to $44 total.

Volume Metered Fee


This fee allows you to create tiers for miles, kilometers, or minutes traveled, and the fee only applies to the tier that matches the distance.

  • Metered by: Miles of travel or kilometers of travel to an appointment

  • Fee Structure: Per unit or Flat Fee

  • Next: Build Tiered Pricing Structure

Example: If a user had to travel 36 miles to an appointment, a fee of $18.00 would be applied. Why? Because the appointment is 36 miles away, the last pricing tier will be used to calculate the total fee ($0.50 x 36 miles = $18.00)

  • For the First 0 - 15 Miles = $0 - no charge

  • For the Next 16 - 25 Miles = $0.03 per mile (for up to 25 miles)

  • For the Next 26 - and on = $0.50 per mile (for over 26 miles)

Assigning Fees to Users

Every fee created must be assigned to a user/team member in order for the fees to automatically be added to Orders. If an order comes in and doesn't have the fee listed, ensure that the fee is assigned to the user in order for it to be applied.

Fee's will be added to orders automatically and cannot be added manually. If an order came in that needs a travel fee, we would recommend using a custom item to create the fee for this particular order.

If you wish to add Fee's to orders on a per order basis, we would recommend creating the fee as an inactive product in your product center.

Fee Address Override

Our platform relies on the home base of each team member to establish the distance or time used for determining the price of this fee in a specific order. With this feature, you have the option to supersede this arrangement by specifying an address for this fee. By designating an address for this fee, you may overrule this behavior.

Instead of using the individual home bases of each team member, this location will be utilized to determine the charge when it is set.

How Travel Fees are Calculated?

When enabled for users on your team, the system will calculate the travel fee total by determining the fastest route from the team members Home Base to the appointment address location. The system will use the appointment time to determine typical traffic patterns at that time while also using real time traffic and road closure data to determine the fastest route to the appointment address.

Here's a visual example of how the Volume Based Travel fee structure works with distance based tiers.

In this example, we are traveling 23 miles to the appointment location from our Home Base. Because we are using a volume based fee, we will look to the travel tier to see which bracket this appointment location falls within.

The last bracket is set to charge .50/ mile for over 20 miles of travel away from the Home Base. If we take .50 x 23 we get a a travel fee total of $11.50 for this trip.
