Overview
To ensure emails are delivered with the highest confidence to customers, we recommend setting up a custom Email Signature in your Aryeo account. This will allow you to set up a white labeled email signature and custom sending name for all email notifications delivered to your clients from the Aryeo system. This is similar to the website domain white label feature we support for your property websites and customer portal.
Note: We can only support emails under a domain that you own.
Examples of unsupported emails: @gmail.com, @outlook.com, @yahoo.com, etc.
Create Your Email Signature
Start by navigating to Notification Settings and clicking the Add Email Signature button under Branded Email Settings.
Complete the following fields:
Who do you want your emails to come from?
This will appear as the From Name on the email
Ex. First and Last Name, Company Name, etc.
What domain do you want to send from?
Typically, your company domain will be entered here.
Ex. “mycompany.com”
What email do you want to send from?
Once the fields have been completed, make sure to review the Emails will be sent from field for accuracy.
Click Create Email Signature to save your details.
Verifying Your Email Signature
Before you can send emails from your newly created email signature, you must verify your DKIM records and return path via your DNS provider.
Login to your DNS provider (GoDaddy, Squarespace, Bluehost, etc.)
Navigate to your DNS settings
Create a new TXT Record
Paste the information for Record Host and Record Value from Aryeo. (shown above)
Create a new CNAME Record
Paste the information for Record Host and Record Value from Aryeo. (shown above)
Once you have successfully created the two new records within your domain provider, click the orange Verification boxes again and click Check Records in the bottom right corner.
If your DKIM and Return Path records were set up successfully, the DKIM and Return Path Status in Aryeo should display as Active.
Note: If you receive an error message after selecting “Check Records” don’t worry. Domains can sometimes take anywhere from thirty minutes to an hour to verify. Feel free to leave the page and come back later to check the records again.
If after an hour you are still receiving an error message, go back through the setup steps for the record creation in your domain host to ensure accuracy.

To further personalize your emails, select a custom Email Button Branding Color that will be used for action buttons within your emails.
Important Notes on Emails
We employ the following features when sending emails from the Aryeo platform:
Plaintext versions of emails:
All of our emails automatically include a plain-text encoding. This isn't viewable by customers, but helps ensure the email is authentic.
Automatic sender validation:
We automatically validate signatures for emails. If for some reason your signature is invalid, we're going to default to sending from one of our verified secure signatures. This should be a big improvement for anyone with a personal domain like @gmail.com or @outlook.com that wants to fix this issue.
DKIM & Return-Path Monitoring:
We're tracking individuals accounts every day and monitoring to ensure your emails aren't being flagged by domains.
FAQs
Q: Why do emails go to spam, even to customers I've delivered to before?
A: Every email provider, and even individual companies like brokerages, have their own spam rules and filters. There is unfortunately no set rule and each provider changes their rules frequently. Sometimes keywords in emails can trigger spam, or even email blasts to agents who haven't opted into a campaign can result in your domain being added to a spam list. Q: My clients say the emails aren't in their spam or inbox, did the email get sent?
Often times there is a third "quarantine" location that emails can end up in prior to a customer seeing them. Most real estate brokerages have these quarantine folders set up, and they are only accessible by their IT teams. If Aryeo shows the email as being delivered in our activity log, then their server has received the email. Our team is happy to debug with specific offices or groups that are having issues, and we'd also recommend having the agents IT department check these quarantine folders first.
Q: I send emails from a personal @gmail.com or @outlook.com email address - how can I prevent these emails from going to spam?
A: Unfortunately using a personal email address for your business can result in your emails being flagged as spam, as you're unable to add a custom sender signature with this email. We'd recommend setting up a business email and domain (Google is great for this) so that you can email customers from something like: [email protected].
